Terms and Conditions

All references to “the organisers” or “Tri-Anglia” will be taken to mean Tri-Anglia Triathlon Club.
All applicants both prospective and successful from this point forward will be referred to as “The Applicants”.

From the moment that Tri-Anglia triathlon club starts to organise an event, there is a considerable amount of work, expense & risk. Each event takes many hours of forward planning and therefore represents a financial risk. The following ‘Terms & Conditions’ are set in place to ensure that we continue to provide athletes with safe & enjoyable events, year on year.

  1. Conditions of Entry

By entering any events as made available on the www.tri-anglia.co.uk website, applicants are agreeing to abide by the following ‘Terms & Conditions’ as outlined below.

  1. Participation

The applicant acknowledges that participation in the race/event is physically strenuous. He/she acknowledges that:

It will be physically demanding and the applicant is aware of the nature of the event and associated medical and physical risks involved.

They are capable of competing in the event and agrees to be solely responsible for their actions and that Tri-Anglia, its marshals, volunteers, members, sponsors and associates are not responsible for any injury or illness that the Applicant may suffer as a result of his/her participation in the event/race.

The Applicant accepts that should any medical or physical condition arise prior to the event/race which is likely to affect his/her ability to compete, the applicant will withdraw in accordance with these terms and conditions.

The Applicant must register and rack their bicycle at the times and on the day as instructed in the Event Information which will be issued by the Organiser before the Event.  These details will be e mailed direct to The Applicants and made available a minimum of 2 weeks before the event www.norwichtriathlon.co.uk

It is the Applicant’s responsibility to provide and use a roadworthy bicycle and helmet which comply with BTF rules and regulations at the time of the event.

The Organiser may introduce cut off times as they see fit as part of the Event rules, being limits on the time taken to complete sections of the Event (as initiated by the Organiser at its discretion) to ensure the safe and proper running of the Event. Subsequently, competitors may be instructed to withdraw from the race in accordance with imposed cut off times.

The Organiser reserves the right at any time to remove applicants from the event/race at their sole discretion, if it considers such action necessary for safety reasons or the proper enjoyment of the event by other Participants or for any other reasonable reason. No refund of the entry fee shall be made if the Applicant has acted negligently, maliciously, with wilful misconduct or otherwise without due care and attention for the event or other participants, so as to cause his/her removal.

While the Organiser takes every care with the staging of the event, the Applicant acknowledges that personal accident and personal items insurance is his or her sole responsibility.

All decisions and rulings by the Organiser are considered final.

Accordingly, the Applicant will comply with all event rules and all instructions and guidelines given by stewards, marshals, and safety personnel. In order for instructions given by stewards, marshals and safety personnel to be heard, the use of headphones is not permitted.

The Applicant acknowledges and agrees that the Organiser will organise and run the event and will have sole authority and be the final arbiter on all decisions relating to the safety, running and organisation of the event, the rules of the event, the timings/finish times and the placings.

The Applicant acknowledges and accepts that circumstances concerning an event may change from time to time for reasons out of the event Organiser’s reasonable control or otherwise, without the Organiser incurring any liability and without any rights to withdrawal being accrued by the Applicant.

The Applicant acknowledges and aggress that basic personal information can be used in the publicising of race results.

The Applicant agrees to abide by all applicable rules and regulations including the British Triathlon Federation (“BTF”), Tri-Anglia is also entitled to impose event/race rules upon the applicant from time to time which will form part of these terms and conditions.

  1. Confirmation of Entry

Satisfactory completion of transaction through the online payment system confirms the applicants place in the race/event for which they have applied.

  1. Race Information

All necessary race Information relating to individual events are published on www.norwichtriathlon.co.uk in the events section. Please note that details of individual events as published on race specific entry forms and provisional race information is subject to change. Updated details of any alterations to race information initially issued will be made available on the web no later than one week prior to the event date. It is the responsibility of competitors to ensure they have accessed the relevant information relating to their event.

  1. Competitor Withdrawal

If for any reason applicants who have already successfully entered an event find themselves unable to race and wish to withdraw they must inform us by email. Please note all withdrawals must be done in writing to the below address.  Point 6 covers the refund policy in such circumstances. At the current time we do not offer a deferral option to the following year or another Tri-Anglia hosted event. info@norwichtriathlon.co.uk.

  1. Refund Policy

Entry fee refunds will be available as follows:

50% of the total price paid by competitor

28th March 2023 – up to and including 30th May 2023

30% of the total price paid by competitor

31st May 2023 onwards

No refunds

Applicants not notifying the organiser of their wish to withdraw from an event until after the withdrawal date as outlined on the race specific entry form and applicants who do not attend the race/event will not receive any form of refund/credit.

  1. Transfer of Entry

Under no circumstances are applicants permitted to transfer their entry to either another event, or to another individual. Applicants wishing to transfer their entry to another race are required to follow the guidelines as outlined in the withdrawal policy. Any refund can then be applied to another event entry fee, having followed the normal procedures of entry for that specific event.

Switching between distances can be done up until and including June 10th 2023.  If switching from standard distance to sprint no refund will be given.  If switching from sprint to standard then the Applicant will be required to pay the difference in registration fee as per the fees at the point of enquiry not at the point of initial registration.

  1. Registration

Details of race registration times relating to specific events will be posted on confirmed race information. All athletes are required to attend registration within the times specified. Applicants who do not attend registration within these times will not be allowed to race, and will lose their right to a place in that race/event. It is the responsibility of competitors to ensure they have accessed the relevant information relating to registration at their event. The Organiser reserves the right to ask for photo ID as part of the registration process in order to confirm the identity of the Applicant.

  1. Photography

The Organiser maintains the right to use images and photographs taken by their contracted photographers and members/marshals at the event without informing of or recompense to event participants. These images can be used for promotional purposes as undertaken by Tri-Anglia and their partners, which will cover a range of possible uses including advertising press and media, printed information items, editorial coverage and any other promotion directly related to the promoters or their sponsors.
Some events may require the Applicant, and any spectators, to register before the use of any photographic and recording equipment (including camera phones) is permitted, in accordance with BTF best practice for events that may include children.

  1. Prizes

Prizes at each event will be awarded in age categories as outlined on individual event race information and competitors who are awarded a prize are required to attend the presentation in order to receive their prize.  In the case where the aforementioned competitors are not in attendance at prize giving they are deemed to have foregone their right to the prize and the prize will not be awarded. Only one prize will be awarded per competitor.

  1. Reserve List

In the case of an event being oversubscribed, a reserves list will be created. People on the reserve list will be contacted, and their entry place confirmed, following the withdrawal of another competitor. The principle of the list will be on a “first come” basis, although Tri-Anglia reserve the right to select individuals “out of order” based upon the event capacity e.g. age groups etc. Subject to the following:

An appropriate place becoming available

Their position on the reserves list

Payment of full entry fee

Acceptance of the terms and conditions.

  1. Event Changes

Tri-Anglia triathlon club have the right to change any event for the reason of safety without prior notice (Example – change to a duathlon)

  1. Event Cancellation

If for reasons beyond the control of Tri-Anglia the race/event which applicants have entered is cancelled, a full refund less administration fee of £5, where requested, will be made.

  1. Right of refusal for entry

Tri-Anglia maintain the right to refuse or revoke entry to any applicant, where they believe that accepting the entry could prejudice the event, the promoting organisation their sponsors, associates or members. This right of refusal extends to include applications where acceptance is considered by Tri-Anglia to be likely to infringe upon the enjoyment of any persons connected with the event, including members, marshals, volunteers & other competitors.

  1. Covid Restrictions

As race organisers, we will comply fully with the guidance and legislation at the time from government and British Triathlon.  We shall make our competitors, volunteers and suppliers aware of these and what is required of them.  If the event needs to be cancelled then we will refer to point 13 in this document.

When someone visits the Norwich Triathlon website we collect standard internet logging data and details of site visitor behaviour patterns.
